Office Support Assistant

Salem Terrace is West Salem is now hiring for an Office Support Assistant .This position will provide personal and supportive services to tenants within an assisted living community and maintain the facility to assure safety and cleanliness.

  • Mon – Thurs, 9:00am – 4:00pm (28 hours a week)
  • Additional TCA/Caregiver hours available for pick-up (based on fill-in needs which could include any open shift, DAY, PM, or NOC).

Job Summary: Assist the director in creating an uplifting and safe environment by performing a variety of day-to-day operations and direct service supporting the provision of individualized, high-quality services to tenants and their families in accordance with tenant service and rental agreements.

Tenant related job tasks include but are not limited to:

  • Conduct on going chart review within the facility and assist in completion of documents contained in the chart such as admission documents, assessments, risk agreements, et al.
  • Monitor and follow up on records requiring staff signatures including MARS, service plans, et al.
  • Complete and submit weekly dining orders
  • Create, promote, facilitate, and support activity programs both in and out of the facilities
  • Operate corporate vehicles to transport tenants to activities
  • Assure tenant emergency information is posted in apartments
  • Perform general clerical duties such including but not limited to maintaining tenant lists, updating mailbox and tenant directory, preparing tour packs, copying, collating, and compiling
  • Perform job functions described in the Tenant Care Assistant job description when acting in that role. The Tenant Care and Office Assistant is anticipated to provide approximately 20 hours/week of Tenant Care Assistant service
  • Execute service plan
  • Review communication board and corresponding progress notes at start of each shift
  • Submit individual participant progress notes
  • Work cooperatively with facility and interdisciplinary team to assure delivery of quality tenant care
  • Provide care and services in all multidisciplinary areas of assisted living

Environment management tasks when filling in for direct care staff include, but are not limited to:

  • Assure the cleanliness and safety of the facility and grounds, including but not limited to snow shoveling, applying salt to sidewalks, picking up grounds
  • Maintain clear pathways to all outdoor entrances and main walk areas outside the building
  • Gather and remove trash from the facility as needed
  • Perform general housekeeping duties in common areas such as sweeping, mopping, vacuuming, cleaning kitchen (counters, refrigerator, oven), washing dishes, dusting, window washing, restroom cleaning, etc.
  • Launder facility linens, rags, et al as needed

Staff and facility related tasks include but are not limited to:

  • Schedule staff; assure all shifts are covered. Submit to director for approval prior to posting
  • Attend departmental meetings and other committee meetings as required
  • Attend mandatory in-services and educational programs required
  • Share last resort back-up for unplanned absences with the director
  • Inventory supplies and submit purchasing requests; check-in product upon receipt
  • Communicate effectively with co-workers, directors, and administrative staff to establish and maintain a cooperative work environment
  • Work independently and as a member of the interdisciplinary team
  • Report incidents involving tenants, staff or visitors to Director/designee; complete incident reports as directed
  • Answer telephone professionally, log messages, and promote facility to callers and visitors

Regulatory and general job tasks include but are not limited to:

  • Maintain compliance with appropriate local, state, federal, regulatory, and accrediting body standards Maintain all necessary paperwork for tenants as required under the HFS 89 state code
  • Promote and assure tenant rights and autonomy
  • Contribute toward a safe and sanitary environment for tenants, visitors and staff. Conduct monthly safety checks, promote safety, and report malfunctions/maintenance issues
  • Contribute toward public relations efforts that promote BSJC including but not limited tours and events
  • Support volunteer efforts
  • Maintain the confidentiality of tenants and staff information
  • Maintain equipment and supplies in a safe and clean condition. Support and abide by all safety practices set forth by BSJ Corporation including but not limited to using proper body mechanics, minimizing trips and falls, good and safe housekeeping and reporting hazardous working conditions
  • Understand and use appropriate universal precautions while performing job tasks including but not limited to using personal protective equipment, proper hand washing procedures and proper infection control and body substance isolation procedures
  • Maintain a positive working relationship with staff, tenants, families and the Director
  • Maintain regular communication with the Director
  • Perform other tasks as directed by Director

Requirements: Must be 18 yrs. of age. Experience working in Assisted Living, Long-Term Care, or Home Health Care; or as a DSP, CNA or RA is beneficial, but not required.
